DOCMATE PRIVACY POLICY

Effective Date: 22 September 2026

Last Updated: 4 October 2026

Applies To: DocMate for Android, Version 1.0

Developer: Aditi Software

Contact: support@aditisoftware.in

1. INTRODUCTION

This Privacy Policy explains how DocMate, an Android document scanning, image-processing, and PDF utility developed and published by Aditi Software, accesses, processes, stores, and shares information.

DocMate is designed primarily as an on-device document utility. PDF files, images, camera captures, and other document content selected by you are processed locally on your Android device.

DocMate does not require you to create an account or sign in.

See on-device processing for how document tools work, Android backup for system-managed copies, and advertising and diagnostics for the current version’s practices.

This Policy applies specifically to the DocMate Android application. Other Aditi Software applications and services may have separate privacy practices and policies.

2. INFORMATION DOCMATE PROCESSES

2.1 Documents, PDFs and Images

DocMate accesses documents and images only when required for features you choose to use.

This may include:

  • Images captured using the camera.
  • Images selected using the Android system file picker.
  • PDF files selected by you.
  • Generated PDF and image files.
  • File names and file locations.
  • PDF page counts and selected pages.
  • Image dimensions and orientation.
  • Crop and perspective information.
  • Page and image ordering.
  • Output format and quality settings.

The contents of these documents may contain personal, confidential, or sensitive information depending on the files you choose to process.

DocMate does not upload these documents to an Aditi Software server.

2.2 Local File Library

DocMate maintains a local file library to help you organize files created or managed through the app.

The locally stored information may include:

  • File name.
  • File path or content URI.
  • File size.
  • Modification date.
  • Favorite status.
  • Image collection name and identifier.
  • Source PDF name.
  • Conversion date.
  • Generated image names and locations.

This information is stored locally on your device and is used to provide DocMate's file-management features.

Search, sorting, and Favorites operations are performed locally.

DocMate does not send your search terms or file-library information to an Aditi Software analytics or tracking service.

2.3 Preferences

DocMate may store application preferences locally, including:

  • Output quality.
  • Save location.
  • Appearance-related settings.
  • Other settings required to remember your choices.

These preferences remain locally on your device, subject to Android's storage and backup behavior described in this Policy.

3. INFORMATION DOCMATE DOES NOT COLLECT FOR ITS OWN SERVICE

DocMate does not require or collect the following information for a DocMate account because the application does not provide account registration or sign-in:

  • Name.
  • Email address.
  • Phone number.
  • Date of birth.
  • Account password.

DocMate does not request access to the following device services or data stores:

  • Device location or GPS.
  • Contacts.
  • Calendar.
  • Microphone or audio recordings.

A document or image you select may itself contain location, contact, calendar, or other personal information. This is different from accessing those device services.

DocMate does not use advertising identifiers for advertising or behavioral tracking.

4. ANDROID PERMISSIONS

DocMate declares the Android permissions and uses the system access described below.

Camera

Camera access is used when you choose to scan or capture a document.

Denying Camera permission prevents camera-based document capture. Camera captures are processed locally by DocMate.

Internet and Network State

DocMate declares Internet and network-state permissions. These declarations do not mean that your documents are uploaded. Core PDF and image processing runs locally; network and system-service interactions are described in Section 11.

Files and Images

DocMate uses Android system file-selection mechanisms to allow you to select PDFs and images.

The app accesses the files you select for the operations you request.

Storage

On Android 9 and earlier, DocMate may request legacy storage-write permission where necessary to save generated files.

On newer Android versions, DocMate uses Android storage mechanisms such as MediaStore and system file interfaces.

The reviewed version of DocMate does not request Location, Microphone, Contacts, Calendar, broad all-files access, or advertising-ID permission.

5. ON-DEVICE PROCESSING

DocMate's core PDF and image operations are performed locally on your Android device.

These include:

  • Document scanning.
  • Image cropping and perspective correction.
  • Image rotation and reordering.
  • Image resizing.
  • Creating PDFs from images.
  • Merging PDFs.
  • Splitting PDFs.
  • PDF compression.
  • Converting PDF pages to images.
  • Managing locally tracked files and image collections.

No Aditi Software document-processing server is used for these operations. DocMate does not upload your documents for processing or use them for AI training, and it does not use an online AI or OCR service.

An Internet connection is therefore not required for DocMate's core document-processing features.

6. WHERE YOUR FILES ARE STORED

DocMate-generated files may be saved in shared Android storage, including AditiSoft folders under locations such as:

Downloads/AditiSoft/...

Documents/AditiSoft/...

Images generated by applicable workflows may be stored under:

Downloads/AditiSoft/Images

The exact location can vary depending on the operation, Android version, previously stored preferences, or a destination selected through an available system interface. The current Settings screen has no save-location picker; check the folder shown after saving.

For automatic Android outputs, the label "Internal Storage" can refer to shared Downloads storage; it does not mean private app storage. A previously stored save-location preference does not control every output workflow.

Files saved in Downloads, Documents, or another shared location are not an encrypted private DocMate vault. Other applications or users with appropriate access may be able to access those files.

If you select a cloud-backed storage provider as a destination, that provider may upload or synchronize the selected file according to its own settings and privacy practices.

7. TEMPORARY FILES AND CACHE

Some DocMate operations require temporary files or cached copies.

For example, PDF-to-image processing may create a temporary PDF copy in the application's cache. DocMate attempts to remove this temporary file after processing finishes.

Unexpected termination, processing failure, or operating-system behavior may cause temporary data to remain until Android or the user clears the application's cache.

When you share an image collection, DocMate may create copies in its application cache so that the receiving application can access them after the Android share interface is opened.

These sharing copies currently have no fixed DocMate-defined automatic expiration period. They may remain until application cache cleanup, application-data removal, or uninstall.

Deleting the original saved file does not necessarily delete an already-created sharing copy.

8. SHARING AND OPENING FILES

DocMate allows you to open or share files using Android's system interfaces.

Sharing occurs only when you initiate the relevant action.

When you select another application or recipient, the selected file becomes available to that application or recipient.

The receiving application or service may copy, upload, store, forward, or otherwise process the file according to its own privacy policy and terms.

Aditi Software does not control information after you intentionally provide it to another application, service, or recipient.

Deleting the original DocMate file does not delete copies already received or retained by another application, person, cloud provider, or service.

9. CLIPBOARD

When you use DocMate's Copy functionality on Android, DocMate may place a file URI and associated label on the Android system clipboard.

DocMate does not automatically clear this clipboard item after copying.

The current implementation does not mark the clipboard item as sensitive.

Clipboard previews, history, synchronization, and access by other applications or system services depend on your Android version, device manufacturer, installed applications, and device settings.

Avoid copying references to sensitive documents when this could create an unwanted privacy risk.

10. ANDROID BACKUP

DocMate does not provide its own cloud-backup service.

However, Android application backup is enabled in the current application configuration.

Depending on your Android device, Google account, backup settings, and Android services, eligible DocMate application data—such as certain preferences or local application records—may be backed up and restored by Android.

This is an operating-system service rather than an Aditi Software document-backup service.

Files stored in shared Downloads or Documents locations are separate from DocMate's private application data and may also be affected by your device's own backup, synchronization, file-provider, or cloud-storage configuration.

You can manage Android backup through the settings and services available on your device.

11. NETWORK AND SYSTEM SERVICES

DocMate does not use a developer-operated remote service to process your PDFs or images.

Some Android or user-initiated functionality can nevertheless involve network services.

Android Emoji Font Service

DocMate includes the AndroidX EmojiCompat component, which may automatically request an emoji font from a system font provider, such as Google Play services, after app startup. The provider may download the font and log technical information related to the request.

DocMate does not send your PDFs, images, scanned documents, or document contents to the font provider for this purpose.

Privacy Policy and Terms of Service

When you choose to view DocMate's Privacy Policy or Terms of Service, DocMate opens the relevant Aditi Software webpage in your external browser.

DocMate does not attach your documents or local file-library contents to these links.

Your browser, Internet provider, website host, and related infrastructure may process ordinary connection information independently.

Cloud File Providers

If you intentionally select a cloud-backed file provider when opening, saving, or sharing a file, that provider may transfer or synchronize the selected file according to its own policies.

Google Play

Installation, distribution, and updates through Google Play are handled separately by Google Play and your Android device.

The reviewed version of DocMate does not implement its own remote application-update checking service.

12. DOCUMENT AND IMAGE METADATA

Do not assume that processing or converting a document removes all metadata or hidden information.

PDF files created through DocMate's scanning workflow may contain:

  • The document title you provide.
  • Software creator or producer information identifying DocMate or AditiSoft.Pdf.
  • A creation timestamp.

Image-processing operations may read image orientation information when required to display and process an image correctly.

Re-encoding an image does not constitute a universal metadata-removal guarantee.

PDF merging, splitting, and compression are document-processing features, not metadata-sanitization or redaction tools.

PDF compression may preserve the original PDF when recompression does not produce a smaller file.

DocMate does not guarantee removal of metadata, annotations, embedded information, hidden content, identifying filenames, or other information contained in a document.

Review sensitive documents before sharing them.

13. DATA RETENTION AND DELETION

Generated PDFs and images remain in their saved storage location until you or another application with appropriate access deletes them.

DocMate does not automatically delete your generated documents after a fixed number of days.

The individual-file library index keeps up to 500 entries. An entry disappearing from that index does not delete the underlying file. Image collection records are stored separately, and files removed outside DocMate may leave stale library information.

When DocMate's Delete function successfully deletes a tracked saved file, it removes the underlying file from its accessible storage location and updates the local library information.

Deleting an image collection removes its generated images where deletion succeeds. It does not delete the original source PDF.

Deletion can be interrupted or fail, in which case some files may remain.

Removing a page or image from an editing session is not the same as deleting the original imported document.

Copies that have already been:

  • Shared with another application or person.
  • Copied elsewhere.
  • Stored by a cloud provider.
  • Included in an operating-system backup.
  • Staged in a sharing cache.

are not necessarily removed when the original file is deleted.

DocMate does not provide secure-erasure guarantees.

14. WHAT HAPPENS WHEN DOCMATE IS UNINSTALLED

Uninstalling DocMate normally removes its application-specific local records, private files, and cache according to Android's application-storage behavior.

However, files generated and saved in shared locations such as Downloads or Documents normally remain after DocMate is uninstalled.

Files already shared with other applications or recipients also remain outside DocMate's control.

Android backup information may remain according to your device, account, and backup settings and may be restored if the application is installed again.

Therefore, uninstalling DocMate should not be treated as deletion of every document previously created or shared using the application.

15. SECURITY

DocMate's local-processing design reduces the need to transmit your documents to an Aditi Software server.

However, local processing does not guarantee that every file or storage location is private or secure.

DocMate relies on Android's permissions, application sandbox, storage mechanisms, and your device's security features.

DocMate v1.0 does not provide:

  • An application-specific password lock.
  • A biometric document-vault lock.
  • An encrypted document vault.
  • Automatic encryption of generated output files.
  • Guaranteed secure file erasure.
  • Automatic document redaction.
  • Guaranteed metadata removal.

Use an appropriate Android screen lock and device-security settings, protect access to your device, and carefully select where confidential documents are saved or shared.

No application or storage system can guarantee absolute security.

16. ADVERTISING, ANALYTICS AND CRASH REPORTING

DocMate v1.0 does not contain advertisements.

The reviewed version does not include an advertising network or advertising SDK.

DocMate does not use behavioral advertising or advertising tracking.

The reviewed version also does not include a usage-analytics service or remote crash-reporting service.

Local debug logging or Android system diagnostics should not be interpreted as an Aditi Software remote analytics or crash-reporting service.

If these practices change in a future version, this Privacy Policy will be updated as appropriate.

17. CHILDREN AND GENERAL-PURPOSE USE

DocMate is a general-purpose document and PDF utility. It is not specifically designed to collect personal information from children.

DocMate does not ask users to provide their name, age, date of birth, email address, or phone number in order to use the application.

Because document processing occurs locally, Aditi Software does not receive a document merely because a user processes it in DocMate.

A document selected by a user may nevertheless contain information about a child or another person. Users are responsible for ensuring that they have appropriate authority to process and share such information.

18. YOUR PRIVACY CHOICES AND CONTROLS

You control which documents and images you select for processing.

You can:

  • Deny or revoke Camera permission through Android settings.
  • Choose which files to open or import.
  • Choose where supported files are saved.
  • Delete generated files.
  • Clear DocMate's application cache or application data through Android settings.
  • Manage Android backup through your device or account settings.
  • Choose whether and with whom a document is shared.
  • Remove clipboard contents using available Android controls.

DocMate has no user account to close and no Aditi Software cloud document repository from which local documents need to be remotely deleted.

Because Aditi Software does not receive your locally processed documents, we cannot remotely retrieve or delete files that exist only on your device.

If you contact Aditi Software directly, we may receive the contact information, message, and any attachments that you choose to provide. Such information will be used to respond to your request.

Do not send confidential documents or unnecessary sensitive information when contacting support.

19. THIRD-PARTY APPLICATIONS AND SERVICES

DocMate uses Android and software libraries required to provide its local functionality, including technologies such as .NET MAUI, AndroidX components, CommunityToolkit.Maui, SkiaSharp, PDFsharp, and AditiSoft libraries.

The presence of a local-processing library does not mean your documents are sent to the library's developer.

External browsers, cloud providers, sharing applications, Google Play services, and other third-party services may independently process information according to their own privacy policies and terms. Some interactions are initiated by you; others, such as the emoji-font request and eligible Android backup described above, may occur automatically.

Aditi Software does not control the independent privacy practices of third-party applications, system services, or providers involved in these interactions.

20. CHANGES TO THIS PRIVACY POLICY

We may update this Privacy Policy when DocMate's functionality, data-handling practices, legal requirements, or third-party integrations change.

For example, this Policy may need to be updated if a future version introduces:

  • Advertising.
  • Analytics.
  • Remote crash reporting.
  • User accounts.
  • Cloud synchronization or backup.
  • Online AI or OCR processing.
  • New permissions.
  • New server-based functionality.

When this Privacy Policy is updated, the revised version will show an updated Last Updated date.

Where applicable law or platform requirements require additional notice or consent, appropriate steps will be taken.
